Location: Dallas, TX (Downtown)
Compensation: $80,000 – $90,000 / yearly + Bonus eligibility
Schedule: Fully onsite, standard business hours

About the Opportunity
A well‑established organization in the investment and technology‑driven financial sector is seeking a polished and highly organized Office Coordinator & Executive Assistant to support daily office operations and provide administrative support to senior‑level leaders. This role is central to ensuring a smooth, welcoming, and professional office environment while also serving as a trusted partner to executives who rely on proactive communication, seamless scheduling, and strong operational support. This position is ideal for someone who takes pride in being the “go‑to” resource, someone who anticipates needs, exercises excellent judgment, and maintains strong poise and professionalism in a fast‑paced setting.
Key Responsibilities
Office Operations
- Serve as the primary point of contact for guests, vendors, and office visitors.
- Oversee daily office flow, ensuring all spaces remain organized, stocked, and presentable.
- Coordinate with building teams and facilities contacts (including international partners) to support office maintenance, access, repairs, and safety protocols.
- Assist with new‑hire onboarding logistics, including preparation of workspace and materials.
- Support small‑ and large‑scale internal events such as team gatherings, leadership visits, and company meetings.
- Manage incoming/outgoing mail, shipments, vendor relationships, and supply ordering.
- Track office expenses, process invoices, and ensure cost‑effective operation of the workspace.
Executive Support
- Provide calendar coordination, scheduling, travel arrangements, and expense support for senior leaders.
- Communicate with internal and external stakeholders on behalf of executives with professionalism and discretion.
- Partner with other assistants and Chiefs of Staff to support broader organizational initiatives.
- Handle confidential information with integrity and maintain a high degree of trust.
What We’re Looking For
- 5+ years of administrative or office coordination experience, ideally within a professional corporate environment.
- Someone who thrives in a polished, fast‑paced office setting and enjoys creating an organized, efficient workplace.
- Strong communication skills and a service‑oriented, positive mindset.
- Proficiency in Microsoft Office and comfort with scheduling tools, office equipment, and day‑to‑day operations systems.
- A proactive professional capable of juggling multiple priorities independently while maintaining composure and professionalism.
