Work Schedule: Hybrid schedule with four days onsite in Washington, DC. Standard business hours are Monday through Friday from approximately 9:00 AM to 5:00 PM.

Job Description:

Our client is seeking a highly organized Executive Assistant to support senior leadership within the Office of the President. This role will work closely with the Chief of Staff and help manage day to day administrative operations for executive leadership.

The ideal candidate is a proactive administrative professional who is comfortable handling competing priorities, maintaining confidentiality, and anticipating the needs of senior leaders in a fast paced, mission driven environment.


Key Responsibilities:

  • Coordinate complex calendars for executive leadership including meetings, calls, and internal and external engagements
  • Manage executive correspondence and assist with drafting professional communications and documents
  • Arrange travel logistics and prepare detailed itineraries when needed
  • Support meeting preparation by coordinating schedules, assembling materials, and tracking follow up items
  • Monitor incoming communications and help prioritize requests to ensure leadership stays organized and responsive
  • Process expense reports and assist with reimbursement documentation
  • Serve as a point of contact for internal staff, partners, and external stakeholders interacting with the executive office
  • Provide general administrative and project support to the Office of the President as needed
  • Maintain a high level of discretion when handling confidential information

Qualifications:

  • 5 to 7 years of experience supporting senior executives or C suite leaders in an administrative capacity
  • Previous experience working in nonprofit, association, or mission driven organizations is strongly preferred
  • Strong calendar management and executive scheduling experience
  • Excellent written and verbal communication skills
  • Exceptional organizational skills and attention to detail
  • Ability to anticipate needs, prioritize tasks, and adapt quickly in a fast paced environment
  • Proficiency in Microsoft Office Suite including Word and Excel
  • Bachelor’s degree preferred but not required

Additional Details:

Location: Washington, DC (hybrid schedule with four days onsite)

Hours: Approximately 35 hours per week

Start Date: Target start between mid March and late March

Interview Process: Initial virtual screening followed by interviews with executive leadership
