An organization is seeking an Administrative Assistant to provide administrative support and ensure efficient office operations.


Job Responsibilities:

• Greet visitors and handle inquiries in person and over the phone.

• Manage phone coverage daily from 8:30 a.m. – 5:30 p.m., answer, screen, and forward calls, and provide information to callers.

• Back up Executive Administrative Assistant by supporting the Executive Team.

• Oversee telephone management, including troubleshooting, user management, and system updates.

• Assist with administrative tasks such as document creation, travel arrangements, meeting scheduling, and mail distribution.

• Organize company activities and ensure office spaces are well-maintained, including conference rooms and kitchens.

• Maintain office equipment, request repairs, and manage supplies inventory.

• Distribute accounting invoices, maintain filing systems, and process data entry.

• Set up and manage vendor accounts and codes.

• Assist with tenant communication and account management via the conference room booking platform.

• Create and process service contracts, purchase orders, and change orders.

• Provide support to the Human Resources department as needed.

• Perform other duties as required.


Requirements:

• High school diploma or equivalent.

• Previous office experience preferred.

• Strong customer service skills and positive attitude.

• Proficient computer skills.

• Highly organized, detail-oriented, and reliable.

• Ability to work independently and as part of a team.

• Professional demeanor and image.

• Motivated self-starter who thrives in a collaborative environment.
