  • Coordinate meeting logistics, including scheduling, hotel accommodations, meeting spaces, catering, and audiovisual needs.
  • Provide administrative and technical coordination for in-person and virtual meetings, including document sharing, breakout sessions, and meeting materials.
  • Record committee decisions, update program statuses, and prepare official notification correspondence.
  • Review and process administrative requests submitted by participating programs, ensuring required information is complete.
  • Respond to inquiries from program representatives regarding procedures, documentation, forms, and reporting requirements.
  • Assist committee members with expense reporting procedures and reimbursement-related questions.
  • Maintain and update online resources, committee information, and related administrative materials.
  • Coordinate additional meetings for subcommittees, special projects, and internal working groups.
  • Monitor deadlines, follow up on outstanding requests, and ensure administrative tasks are completed accurately and on schedule.
  • Collaborate with internal departments and external partners to support efficient committee operations.

Qualifications:

Required:

  • Bachelor's degree in a relevant field.
  • At least 3 years of experience supporting residency, fellowship, or institutional programs, or 5 years of administrative experience within a healthcare-related environment.

  • Excellent written and verbal communication skills.
  • Strong attention to detail with the ability to track deadlines and follow up on outstanding tasks.
  • Ability to manage multiple assignments and shifting priorities in a deadline-driven environment.
  • Dependable, proactive, and comfortable working both independently and collaboratively.
  • Strong problem-solving skills and sound judgment when handling administrative responsibilities.

Preferred:

  • Previous experience supporting healthcare education, accreditation, or professional committees.
  • Familiarity with medical education programs, institutional reporting, or compliance-related administrative processes.
  • Experience coordinating complex meetings involving multiple stakeholders.
  • Experience maintaining information within specialized databases or program management systems.

Additional Details:
