Job Description:
Our client is seeking a Special Assistant to support the CEO’s office in a dynamic, high-visibility role. This position will focus heavily on executive support functions including complex calendaring, travel coordination, and day-to-day logistics, while also contributing to broader administrative and project-based initiatives across the organization.
Key Responsibilities:
- Manage a complex and ever-changing executive calendar, prioritizing meetings and resolving conflicts
- Coordinate detailed domestic travel arrangements, including flights, accommodations, and itineraries
- Serve as a liaison for internal and external stakeholders, ensuring timely communication and follow-ups
- Prepare meeting materials, presentations, and briefing documents for executive engagements
- Draft and edit correspondence on behalf of the CEO, including emails and acknowledgments
- Track action items and ensure completion of follow-ups from meetings and conversations
- Support expense reporting and general administrative functions for the executive office
- Conduct research on individuals and organizations ahead of meetings
- Assist with special projects and provide administrative support across teams as needed
Qualifications:
- 4–6+ years of experience supporting senior executives or C-suite leaders
- Strong experience managing complex calendars and coordinating high-volume travel
- Prior experience working in a remote or hybrid environment
- Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar) required
- Experience with tools such as Zoom, Slack, and CRM systems (e.g., Salesforce) is a plus
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication abilities
- Ability to remain composed and adaptable in a fast-paced, ever-changing environment
- Bachelor’s degree required
