This opportunity is with a well-established, premier commercial real estate organization operating across major U.S. gateway markets. The role is based at a large mixed-use property campus in Chevy Chase, MD, supporting a collaborative and fast-paced property management team.


Job Description:

We are looking for a detail-oriented and client-focused Property Management Coordinator to support the day-to-day operations and tenant relations of a commercial property portfolio. In this onsite role, you will serve as a primary point of contact for tenant services, vendor coordination, and administrative support for the property management team.


Key Responsibilities:

Operations

  • Generate purchase orders and service contracts; review and process vendor invoices against contract terms, negotiated rates, and property budgets
  • Handle accounts payable functions and ensure timely invoice processing to maintain budget accuracy
  • Audit vendor invoices for discrepancies and follow up to resolve billing issues
  • Track and report sustainability metrics across the portfolio, including energy usage, water consumption, and waste diversion
  • Maintain up-to-date insurance certificates for all on-site contractors
  • Oversee the onboarding and setup of new vendors
  • Issue accurate tenant work order billing on a bimonthly cycle
  • Coordinate scheduling of building maintenance and contracted services
  • Support general office operations including phone coverage and administrative tasks
  • Assist with budget data gathering and entry for the property management team

Client Relations

  • Support tenant relationship management and contribute to a positive day-to-day property experience
  • Field and direct incoming calls and emails from tenants and vendors to the appropriate team members
  • Assist tenants and vendors with maintenance scheduling, building procedures, and general property information
  • Escalate recurring or unusual tenant concerns to the Property Manager
  • Deliver high-quality customer service and actively support tenant retention efforts
  • Coordinate tenant communications and event notifications for recurring and special building events

General & Administrative

  • Maintain and update tenant contact lists and property information resources
  • Produce, revise, and distribute a variety of documents, spreadsheets, and informational materials for the team
  • Organize and manage both physical and digital filing systems for property records, invoices, vendor files, and work orders
  • Draft and process correspondence on behalf of the property management staff
  • Support contract documentation in alignment with internal controls and procedures
  • Take on additional projects and responsibilities as needed

Qualifications:

  • 2–3 years of customer service experience in a mid-to-high-end retail, hospitality, or professional setting
  • Minimum 2 years of administrative experience in an onsite office environment
  • Commercial property management experience strongly preferred
  • Strong written and verbal communication skills
  • Proven ability to problem-solve and prioritize with minimal supervision
  • Intermediate proficiency in Microsoft Excel; comfortable with the full MS Office suite
  • Highly organized with the ability to manage competing priorities and deadlines
  • Collaborative team player with a professional, proactive approach
  • Bachelor's degree preferred
