Position Summary
The Accounts Payable Specialist is responsible for supporting the day-to-day processing of vendor invoices and payments. This position ensures that all payables are recorded accurately and on time while applying foundational accounting knowledge in a fast-paced retail environment. The AP Specialist reports directly to the Accounts Payable Manager and plays a key supporting role in maintaining vendor relationships and keeping the payables cycle running smoothly.
Key Responsibilities
• Enter vendor invoices into the accounting system with accuracy and attention to detail, including invoices from both domestic and import vendors.
• Match invoices to purchase orders and receiving documentation, flagging discrepancies for review by the AP Manager.
• Assist with the preparation of weekly payment runs (checks, ACH, wires), including gathering backup documentation and verifying payment details.
• Communicate with vendors and internal teams to resolve basic discrepancies, missing information, or invoice questions in a timely and professional manner.
• Help maintain accurate and organized records, including invoice files, vendor contact information, and import documentation.
• Support month-end close by assisting with invoice entry cutoffs, accruals, and basic reconciliations as directed by the AP Manager.
• Assist with vendor onboarding, including collecting W-9s, banking information, and setting up new vendor accounts in the system.
• Help track and organize import-related documents such as commercial invoices, packing lists, and freight invoices for the AP Manager’s review.
• Respond to internal inquiries regarding invoice and payment status in a timely manner.
• Participate in team meetings and training sessions to build knowledge and grow in the role.
• Perform other administrative tasks and projects as assigned by the Accounts Payable Manager.
Qualifications
• 1–2 years of accounts payable or general accounting experience required.
• Strong attention to detail and willingness to learn.
• Ability to stay organized and manage time effectively in a deadline-driven environment.
• Basic proficiency in Microsoft Excel (e.g., sorting, filtering, basic formulas).
• Clear written and verbal communication skills.
• High school diploma or equivalent required; associate’s or bachelor’s degree in accounting, business, or a related field is a plus but not required.
• Interest in growing within the accounting or finance field is a plus.
