Job Description

Addison Group is hiring on behalf of our client for an Administrative Assistant to provide essential operational, administrative, and communications support to a rapidly expanding program-focused team. This role plays a key part in coordinating events, maintaining accurate data systems, supporting digital communications, and ensuring program materials and outreach efforts remain current and effective.


Key Responsibilities

  • Build, maintain, and troubleshoot online forms and workflows, including data exports and updates
  • Maintain CRM and database systems by entering, validating, and reporting on program data
  • Support email marketing efforts by creating campaigns, managing distribution lists, scheduling sends, and reviewing performance metrics
  • Monitor a shared program inbox, responding to inquiries, routing messages appropriately, and ensuring follow-up is completed
  • Update and format presentation materials for meetings, events, and external-facing communications
  • Organize and archive program-related assets such as slide decks, speaker information, recordings, and supporting documents
  • Coordinate facility and space requests for meetings and events
  • Prepare and send communications to speakers and vendors, including confirmations and logistical details
  • Manage event registration communications, including confirmations, reminders, and issue resolution
  • Track participation and attendance for meetings, programs, and events
  • Maintain website content to reflect current initiatives and accurate program information
  • Schedule approved content across social media platforms using designated publishing tools
  • Monitor and compile media mentions for internal reporting and awareness

Qualifications

  • Adaptable, solution-oriented mindset suited for a growing and fast-moving team
  • Strong interest in collaborating across teams and contributing to innovative program initiatives
  • 2+ years of recent and progressive experience providing administrative or operational support in a nonprofit or business setting
  • Hands-on experience with digital platforms such as online form tools, CRM systems, email marketing software, and Microsoft Office
  • High level of accuracy and organization with the ability to manage competing priorities
  • Clear, professional written communication skills
  • Proven ability to work effectively with internal teams and external partners
  • Comfortable resolving technical issues related to registrations, forms, or communications tools
  • Familiarity with social media scheduling platforms and multi-channel publishing
  • Experience tracking and organizing media coverage or mentions is a plus
