Accounts Payable Specialist / Front Desk
Position Overview
We are seeking an organized Accounts Payable Specialist to support a multi-entity accounting team while serving as the first point of contact at the front desk. Approximately 70% of the role is accounts payable and 30% is reception and administrative support. The ideal candidate is comfortable switching between focused invoice work and helping callers and visitors throughout the day.
Key Responsibilities
- Process approximately 100 invoices per week, including reviewing, coding, entering, and routing invoices for approval.
- Confirm invoices are charged to the correct entity and general ledger account.
- Assist with payment processing, maintain vendor records, and respond to vendor questions.
- Research invoice discrepancies and work with the accounting team and internal departments to resolve them.
- Support AP reconciliations and month-end tasks as needed.
- Staff the front desk, greet visitors, answer and direct phone calls, and handle incoming mail and deliveries.
- Help track, organize, and renew business licenses, including gathering information and submitting paperwork as needed.
- Provide general administrative support to the office.
Qualifications
- Prior accounts payable experience, including invoice coding and entry.
- Experience handling approximately 100 invoices per week or a similar workload.
- Strong attention to detail and ability to stay organized while managing interruptions.
- Professional, friendly phone and in-person communication skills.
- Comfortable using Excel and accounting software; Sage Intacct experience is a plus.
- Experience supporting a front desk or handling business licenses is a plus.
- An accounting degree is not required.
