Position Overview
We are seeking a detail-oriented Collections Specialist to join an established accounting team within a growing construction organization. The Collections Specialist will play an important role in the day-to-day accounts receivable and collections process.
Key Responsibilities
- Manage and follow up on outstanding customer accounts and past-due balances.
- Make regular outbound collection calls to customers regarding overdue invoices.
- Work with construction-related billing documentation, including progress billing, schedules of values (SOVs), retention, releases/lien waivers, public agency billing, and similar processes.
- Communicate professionally and tactfully with customers while working to secure payment.
- Respond to customer inquiries regarding invoices, payments, account balances, and discrepancies.
- Research and identify the underlying reasons invoices have not been paid.
- Investigate and resolve billing, documentation, and account issues that may be preventing payment.
- Maintain detailed and accurate notes regarding collection activity and customer communications.
- Follow up consistently on outstanding promises to pay.
- Assist with account reconciliations and research discrepancies as needed.
- Work closely with the accounting team to ensure customer accounts remain accurate and up to date.
- Maintain organized records and documentation of collection efforts.
- Provide excellent internal and external customer service.
- Assist with additional accounting and collections-related projects as needed.
Qualifications
- 3–5 years of construction collections experience preferred.
- Experience with construction or other documentation-heavy billing strongly preferred.
- Familiarity with progress billing, SOVs, retention, lien waivers/releases, public agencies, or similar billing processes is a plus.
- Proven experience making outbound collection calls.
