Position Highlights

Position Overview

This role provides high-level executive support in a one-on-one working relationship with the President. The Executive Assistant serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the President. This individual also acts as a liaison to senior leadership, department managers, and employees, while coordinating executive outreach, external relations efforts, and special projects.

This position supports a highly engaged, fast-paced executive who values responsiveness, proactive prioritization, and thoughtful communication—including the ability to provide professional pushback when appropriate.

Key Responsibilities

  • Manage a complex and dynamic executive calendar, including scheduling meetings, appointments, and travel arrangements
  • Prepare and reconcile expense reports
  • Draft, review, and manage correspondence, including sensitive and confidential communications
  • Coordinate detailed travel plans, itineraries, and meeting materials
  • Serve as a communication liaison between the President and leadership, employees, and external partners
  • Research, prioritize, and follow up on incoming issues and concerns, including those of a confidential nature
  • Determine appropriate courses of action, referrals, or responses on behalf of the President
  • Facilitate effective communication between the executive office and internal departments, building trust and credibility across the organization
  • Track and follow up on delegated tasks to ensure timely completion
  • Support key deliverables with a hands-on approach, including executive correspondence and special initiatives
  • Manage shifting priorities and deadlines in a fast-paced environment
  • Assist with scheduling and coordination of executive team meetings, off-sites, and company-wide meetings
  • Maintain strict confidentiality and discretion at all times
  • Ensure adherence to company policies and procedures

Industry & Operational Support (Preferred)

  • Working knowledge of Department of Transportation (DOT) regulations, including compliance and reporting
  • Familiarity with dispatch operations, scheduling, and coordination in time-sensitive environments
  • General understanding of OSHA standards and workplace safety requirements

Qualifications & Skills

  • Bachelor’s degree preferred
  • 3–5 years of experience supporting senior-level executives
  • Strong professional judgment and decision-making skills
  • Exceptional written and verbal communication abilities
  • Proven ability to manage sensitive information with discretion and confidentiality
  • Highly organized with the ability to manage multiple competing priorities
  • Strong interpersonal skills with the ability to build relationships across all levels of an organization
  • Demonstrated ability to meet deadlines and perform in a fast-paced, dynamic environment

Technical Proficiency

  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Experience with Sage preferred
  • Proficiency in Adobe Acrobat and social media platforms

  • Ability to reprioritize tasks multiple times throughout the day
  • Ability to separate tone from intent and communicate effectively in high-pressure situations
