This individual will play a critical role in owning the onboarding experience, maintaining HR systems, supporting recruiting efforts, and delivering exceptional service to employees and candidates. Job Description:

The HR Operations Coordinator will own the full preboarding and onboarding process from offer acceptance through new hire orientation and post-onboarding follow-up while ensuring an exceptional employee experience. This role is responsible for coordinating pre-employment activities, maintaining accurate employee records within UKG, supporting recruiting initiatives, managing the HR inbox, and assisting with HR operational projects and process improvements.


Qualifications:

  • Bachelor's degree in Human Resources, Business, or a related field (or equivalent HR experience).
  • 2 – 5 years of Human Resources, HR Operations, or related administrative HR experience.
  • Hands-on experience managing employee onboarding and HR operations.
  • Experience maintaining employee records within an HRIS (UKG preferred).
  • Strong attention to detail with exceptional organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • High level of discretion when handling confidential information.
  • Strong customer service mindset with the ability to support employees, candidates, and leadership.
  • Ability to work independently while collaborating closely with HR leaders.
  • Analytical mindset with strong problem-solving skills.
  • Healthcare or multi-site experience preferred.
  • PHR or SHRM-CP certification (or desire to obtain certification) is a plus.

Key Responsibilities:

  • Own the full preboarding and onboarding process from offer acceptance through Day 1 and post-onboarding follow-up.
  • Coordinate background checks, drug screens, reference checks, and all required pre-employment documentation.
  • Maintain accurate employee records in UKG, including new hires, transfers, terminations, and employee updates.
  • Coordinate New Employee Orientation (NEO), including scheduling, onboarding materials, documentation, and system access.
  • Serve as the primary point of contact for onboarding updates, troubleshooting, and cross-functional coordination.
  • Screen resumes, source candidates, coordinate interviews, and support recruiting activities.
  • Monitor and respond to the HR inbox while providing exceptional customer service to employees, candidates, and leaders.
  • Ensure data integrity across HR systems and support HRIS process improvements.
  • Assist with documenting and maintaining HR Standard Operating Procedures (SOPs).
  • Identify opportunities to improve HR processes and enhance the employee experience.
  • Support additional HR projects and administrative responsibilities as assigned.

Additional Details:

  • Immediate start preferred (no two-week notice strongly preferred).
  • Candidates should have no planned extended time off within the first 60 days.
