About Our Client:
Addison Group is partnering with a well-established organization seeking a dependable Administrative Support Specialist to assist with daily office operations. This role is ideal for someone who is organized, detail-oriented, and enjoys balancing administrative tasks with customer interaction.
Job Description:
In this role, you will provide administrative and clerical support to ensure smooth office operations. You’ll work closely with internal teams while serving as a point of contact for clients and vendors.
Key Responsibilities:
- Enter and maintain accurate financial records using QuickBooks, including posting customer payments
- Monitor and follow up on outgoing and incoming shipments
- Provide administrative assistance to the sales team as needed
- Order and manage office supplies to keep operations running efficiently
- Manage shared email inboxes and respond to correspondence in a timely, professional manner
- Answer and route incoming phone calls
- Prepare and distribute required client documentation, including insurance certificates and W-9s
- Perform light collections by contacting customers with friendly payment reminders
Qualifications:
- Valid driver’s license required
- Strong customer service and communication skills
- High attention to detail and accuracy
- Proven reliability and dependability
- Strong organizational and time-management abilities
- Comfortable handling multiple tasks in a fast-paced office environment
