About Our Client:
Addison Group's client is seeking a highly organized and proactive Administrative Officer to support senior leadership for our client, a mission-driven organization. This role is ideal for an administrative professional who excels in complex scheduling, travel coordination, and process improvement. The team is looking for someone who can implement systems and best practices that enhance efficiency and operations.
Job Description:
The Administrative Officer will provide high-level executive and operational support to senior leadership. This role requires managing schedules, coordinating logistics, handling travel arrangements, and streamlining administrative processes. The ideal candidate is a self-starter who takes initiative, anticipates needs, and thrives in a fast-paced environment.
Key Responsibilities:
- Executive Support: Manage complex calendars, schedule meetings across multiple time zones, and oversee daily operations.
- Event & Logistics Coordination: Plan and organize stakeholder meetings, ensure smooth execution, and prepare necessary materials in advance.
- Process Improvement: Develop and implement standard operating procedures (SOPs) to establish structure and improve administrative workflows.
- Communication & Liaison: Act as a key point of contact between leadership, internal teams, and external stakeholders.
- Travel & Expense Management: Arrange domestic and international travel and process expense reports in Workday.
- Project & Task Management: Track deliverables, manage deadlines, and support key initiatives to optimize efficiency.
- Compliance & Documentation: Ensure adherence to company policies related to contracts, event planning, and administrative procedures.
Qualifications:
- 5+ years of executive or senior administrative support experience (EA or Senior AA level).
- Strong experience in complex calendar management and scheduling across time zones.
- Proficiency in Microsoft Outlook, Teams, and Workday (or similar platforms).
- Highly organized with the ability to develop and implement new administrative processes.
- A proactive, solutions-oriented mindset – someone who will take ownership, anticipate needs, and streamline workflows.
- Bachelor's degree strongly preferred (or equivalent experience).
- Mission-driven or nonprofit experience is a plus.
